WHEN TO USE THIS
- Hand off a data export to someone without asking them to open Google Sheets. Some clients and colleagues would rather download and open in their own Excel than click into a shared cloud doc.
- Feed a spreadsheet into an automation tool. If you're using Zapier, Make, or n8n and a step needs a public URL for a file input (rather than an attachment), this gives you that link in seconds.
- Share a one-off report without setting up folder permissions. Quarterly numbers, a budget draft, a client invoice log, a link is faster than inviting someone into a shared Drive folder for a single file.
- Send a CSV export from your CRM or accounting software. These exports often aren't formatted for email attachments (some mail clients mangle CSV MIME types), a direct link avoids that problem entirely.
WHEN NOT TO USE THIS
If the spreadsheet has live formulas or macros other people need to edit and update together, use a shared Google Sheet or OneDrive file instead. A link gives a fixed snapshot at the moment you uploaded it, not a live, collaboratively editable document.
